Vancouver Cherry Blossom Festival produces an annual cherry blossom festival in celebration of Vancouver’s approximately 20,000 cherry trees blossoming in March and April. The festival’s goals are to:

  1. Connect – We connect people through engaging, accessible, inclusive and family-friendly programming. We build community and cross-cultural understanding. 
  2. Celebrate – We celebrate Vancouver’s love affair with the cherry blossom, enjoying each moment of the fleeting season.
  3. Collaborate – We collaborate with dedicated volunteers and community partners to build innovative arts and cultural programs.
  4. Educate – We educate people about the story of the cherry tree and its life in Vancouver. 

THE ROLE

This position is for someone who possesses both a passion for working with people, and great organizational and time-management skills. The Vancouver Cherry Blossom Festival is a small, but far reaching non-profit organization. As such, each member of our team wears many hats and needs to be flexible in order to make the annual festival a success. 

The primary focus of this position is to manage several projects during the lead up to and throughout our festival season, as well as assist with reporting and wrap-up. Programs below:

VCBF Information Booth and Merchandise booth

  • Assist with ordering giveaways and merchandise
  • Managing VCBF inventory 
  • Set up and managing payment systems (Square)
  • Cash handling and reconciliation
  • Creating an activity or game for the public
  • Set-up and decoration of the booth on the event sites
  • Managing booth volunteers on event site
  • Creating an FAQ for the event, to be used by Staff and Volunteers to field attendee inquiries
  • Managing Raffle ticket fundraiser and reporting

BreakOUT Dance Activity (March 28th, 2026)

  • Booking and managing equipment, including on-site set-up and tear-down
  • Managing sponsor deliverables around this activity (ie. signage)
  • Leading and training volunteers

Tree Talks and Walks

  • Scheduling a series of Tree Talks and Walks throughout the City on various dates, with various presenters
  • Managing the ticketing / reservations on Tickit platform
  • Communication with Tree Talks and Walks hosts
  • Attending Tree Talks and Walks to provide a welcome, and ensure the tech is working

Assistant Volunteer Coordination

  • Managing volunteers for smaller events
  • Assisting the Volunteer Coordinator with planning the Volunteer Appreciation event

Administration / Collaboration

  • Storing all relevant files in the Google Drive
  • Communicating with the VCBF staff about VCBF Programs
  • Attend both in-person and online meetings, events and programs to oversee and manage assigned responsibilities

Reporting

  • Daily Cash reconciliation
  • Final merchandise inventory reporting at the end of the season
  • Raffle gaming permit reporting and reconciliation
  • Event attendee counts and collecting survey results

This is a contract position with variable hours.

  • January 2 – March 13, 2026: 24 hours per week
  • March 14 – April 17, 2026: 40 hours per week
  • April 18 – April 30, 2026: 24 hours per week

Mandatory weekend event dates you must be available to work:

  • March 27-29th, 2026
  • April 4th, 2026
  • April 11-12th, 2026

This can be a primarily work from home position with one required office day during the off-season and increased office time closer to the festival season. 

Expected Skills and Experience:

  1. Highly organized and detail-oriented – able to juggle multiple projects, schedules, and communications with efficiency.
  2. Strong time management skills – capable of meeting deadlines in a fast-paced, seasonal environment.
  3. Excellent communicator – clear and friendly in written and verbal communication with staff, volunteers, partners, and the public.
  4. Proficient in digital tools such as Google Workspace (Docs, Sheets, Drive), online ticketing or registration systems (ie. Tickit), and digital payment platforms (ie. Square).
  5. Financially accurate – comfortable handling cash, reconciling sales, and maintaining records.
  6. Event-savvy – experienced or comfortable with on-site coordination, set-up, tear-down, and troubleshooting at live events.
